My name is Alfred and I'm going to be using document management in MasterFile to show you how it touches all my tasks throughout the day, regardless of the types of documents I need or the work I'm doing.

I flip on my computer and am greeted with a dozen new e-mails including:

  • answers to several key questions I had put to my client,
  • a MasterFile doc-link from my assistant pointing to the expert report I've been waiting for that she's scanned and loaded into MasterFile, and
  • an inquiry from opposing counsel regarding an offer they made.

DOCUMENT MANAGEMENT -- FINISHING A LETTER

First I need to review my letter to Jim Lipton. In MasterFile, since I know it's from me to him, it takes me 2 clicks using MasterFile's "by From, To" view to pull it up. You see MasterFile is different. When I'm looking for a specific document, I generally know something about it -- perhaps the date, author, recipient or type -- and with this I can pinpoint it in just 2 or 3 clicks.

I double click to edit the letter in Word and as you can see in Word's red title bar, it understands the document came from MasterFile.

E-MAILING A DOCUMENT FROM A CORPORATE MINUTE BOOK

Right now, a client wants some directors' resolutions from his corporate records. A few clicks later and the documents are on their way, e-mailed directly from MasterFile.

ATTENDING TO E-MAIL -- FROM IN-BOX TO CASE ANALYSIS IN 2 CLICKS

It's now time to deal with the first e-mail. My client's building suffered an elevator failure and he's confirmed there were several emergencies before the failure itself. This is crucial to our case and I need to add this information to the case chronology and argument.

A couple of clicks and his e-mail is saved in MasterFile. Hitting the "Create new fact" button adds a new event for these failures with the e-mail automatically linked as my source (step 1 in the thumbnail). I simply enter a few notes and event dates and the case chronology is updated as you can see on MasterFile's colour coded chronology view (step 2 in the thumbnail).

Here's something you may not have realized so far: I'm using the same system for both our litigation documents and our own work product, as well as general documents received like contracts, e-mail or correspondence, etc. If you think about it, why pay for and learn two systems just to organize and manage documents. As I mentioned -- MasterFile is different!

EXPERT EVIDENCE TO KEY EVIDENCE FOR AN ISSUE IN 2 CLICKS

Now turning to the expert report, as I mentioned, my assistant Jen had already scanned and stored it in MasterFile. To pull it up, I simply click on the doc-link in her e-mail (step 1 in the thumbnail).

Reading through, I see the second paragraph confirms what I thought -- the elevator cables were badly frayed.

A couple of clicks later and I've extracted and tagged this key passage with the "Defective Parts" issue so when I use MasterFile's Argument Toolbox to draft my argument, this passage is visible with all the other evidence I've marshalled on this issue (step 2 in the thumbnail).

TIME TAKEN: 1 MINUTE

Regardless of the type of document -- contract, authority, deposition transcript, e-mail, statute, etc. -- in MasterFile extracting key passages is always done the same way.

BULK LOADING EVIDENCE OR WORK-PRODUCT HAS NEVER BEEN EASIER

I don't know about your clients, but mine seem to continuously discover new documents on flash drives, laptops, in paper files, etc. Sometimes we get a few; sometimes a few box fulls.

This morning we received several hundred new Word, Excel and other electronic documents. Again it takes just a couple of clicks using MasterFile's Express Load to add these into the case database. Within a few minutes they're done and ready for my assistant to start culling the obviously irrelevant material.

TIME TAKEN: 3 MINUTES

Express Load also makes short work of bulk loading work product -- a common occurrence when I move existing cases into MasterFile. That's the advantage of using the same system for litigation documents and work-product -- my life is made simpler because the same tools work everywhere.

FINALLY, WORKING OFF-LINE AT HOME WITHOUT RESTRICTIONS

Today, I'm taking work home again! Working away from the office is a breeze with MasterFile's bi-directional replication and synchronization.

On MasterFile's replication page, I select the cases I'll be working on tonight and click the "Start now" button. My laptop is updated with all office work to date. At home, I have the entire cases to work with: all documents, notes, work-product, facts, chronologies, argument -- everything -- as if I'm still in the office. Even working off-line in MasterFile is exactly the same with no restrictions or limitations.

TIME TAKEN: 2 MINUTES

When I get back the next morning, I'll simply click "Start now" again. The office databases are automatically updated with all my work. On days when I work from home, I synchronize over the Internet as often as I need. And since it's bi-directional, I'm updated at the same time with work done by office staff. Others out of the office can do exactly the same whenever they need -- even simultaneously.
